Operations & Services Manager

Reports to: CEO

Hours: Part Time (24hrs/4 days a week worked flexibly (to include some evenings, weekends and public holidays).

Salary: £25,000 – £28,000 FTE (depending on experience) pro rata

Location: Remote (working from home) with monthly meeting in High Wycombe or London

Benefits: 3% employer pension contribution/Employee Assistance Programme

Holiday: 28 days per annum

Job Purpose: Coordinate the smooth running of operations, services to clients and support to the small but busy team to develop and maintain professional standards of efficiency and effectiveness.

Services Operations

·       Input new client details into the database (plans to adopt new system to automate)

·       Send all new clients an introductory email

·       Allocate one to one (telephone/email/video) support of clients to volunteers/staff

·       Assist volunteers/staff to set up (telephone/email/video) support

·       Assist with planning of education presentations and events

·       Coordinate the monitoring, evaluation and reporting of efficiency and effectiveness

HR Operations

·       Assist with staff recruitment

·       Prepare volunteer agreements and staff contracts (in liaison with external HR advisor)

·       Coordinate volunteers/staff induction (in liaison with colleagues)

·       Liaise with external HR advisor (as and when necessary)

Administration Operations

·       Take calls made to the charity admin telephone number

·       Provide administrative support for volunteer/staff meetings

·       Liaise with external IT/telephone service providers (as and when necessary)

·       Assist with other administrative tasks as required.

Person Specification

·       Highly organised with strong operational skills and attention to detail

·       Strong interpersonal/communication skills, tact, emotional resilience, empathy and patience

·       Comfortable working independently/flexibly and an excellent team player

·       Fast learner with ‘can do’ attitude and ability to pick up a variety of tasks with minimal supervision

·       Interest in and ability to develop new systems, procedures and ways of working

·       Office administration, project management or operations support/coordination experience

·       Experience of multitasking in a busy environment

·       Charity/public sector service delivery experience (ideally)
